Document Controller

The Company: mac-group is a multi-award-winning specialist Construction and Interior fit out company. Duties include:

  • Set up and manage the project document control systems.
  • Provide administrative support to the Project Team.
  • Manage the initial QA check (ensuring the Project Protocols) of all uploaded information and issue onto relevant parties.
  • Monitor and track design information review progress ensuring that all comments are returned.
  • Review status of information approvals and advise on all outstanding actions with the Design Manager.
  • Award relevant document status as defined, reviewed and agreed with the Design Manager.
  • Ensure the hard copy design files are updated on a daily basis to ensure they contain the latest revisions from all the Design/ Sub Contractors and client teams.
  • Assist Design Manager to upload and monitor progress/response mac Technical Submissions, RFI’s, Client Discussions and CDSP submittals.
  • Assist Design Manager and Package Managers to upload, monitor and close out Sub Contractor RFI, Technical Submissions, Sample submissions and the like.
  • Generate “status” report for client approvals.
  • Support Design Manager with the update and distribution of design reports for the Client Monthly report.
  • Create Static Work Package folders for Sub Contractor tender documentation.
  • Generate Work Package Drawings Registers for inclusions within sub-contractor tender document.
  • Assist with any general queries regards the basic elements of i.e. uploading, commenting, marking up information.
  • Update, in conjunction with the Design Manager / Project Manager, the documents and re- upload and issue out accordingly.
  • Upload/ file all required information onto system including, H&S Safety Inspections/ RAMS/Directors Walk Around/NCR’s and generate RAMS/ NCR register to enable Project Team to review on a quarterly basis.
  • Undertake H&S surveillance reports in line with the H&S matrix.

SECONDARY RESPONSIBILITIES: Admin Support

  • Assist the Project Team with the compilation of the Client Monthly Report including the upload of the completed document onto Sharefile.
  • Assist the Project Team with the compilation of tender documentation i.e. collate all design information following guidance from the Design Manage
  • Initial set up of the hard copy QA Filing System for all work packages and provide administrative support where required.
  • Set up and the ongoing filing of all Health, Safety & Environmental Filing (Hard Copy elements i.e. induction information etc. in line with mac Process.
  • Considerate Constructor Application – assist the Project Team with the initial setup and management of the information required for the assessment.
  • Attend meetings as required and support the chair and assist with the issue of the minutes to the attendees once completed by the chair.
  • Waste monitoring – tabulating the figures, data etc. required for the reporting.
  • KPI Information – tabulating the figures, data etc. required for the reporting.
  • Assist the Office Manager/ Site Team with purchasing/ordering where necessary.
  • Assist with the administration of the site snagging system – i.e. ensure all the iPad/tablets are stored securely and fully charged.
  • Support the site team with the organisation of meetings e.g. ensuring the room is clean and tidy, assisting with making refreshments for the attendees.
  • Undertake ad hoc duties for the site and client team as required.

What do we want? 

  • Relevant experience of document control processes and techniques
  • Experience in a similar role as a Document Controller with a construction contractor
  • Demonstrable skills in organising own workload, communication and collaboration
  • Proactive and able to work under pressure and to tight deadlines
  • Proficient in the use of Microsoft Office including Outlook, Word and Excel
